ATTENDEE POLICIES

Cancellation Policy

Cancellations received 14 days prior to the event via this form will receive an 80% refund. After that date, replacement registrants are welcomed but no refunds are available. Extenuating circumstances will be considered on a case-by-case basis following the conclusion of the event.

Acknowledgment of Risk & Safety Procedures

Participation in SAIS events signifies an attendee’s acknowledgment of infectious and other diseases and voluntary assumption of the risk of exposure or infection by attending the event. Attendees agree to comply with all guidelines and procedures, including distancing and/or masking, that may be implemented by SAIS, in accordance with recommendations from the CDC and other public health authorities.

Acknowledgment of Intellectual Property

Participants expressly acknowledge the intellectual property of the presenters of this conference and these other terms that are conditions of attendance. This acknowledgment includes the understanding that creating any form of recording, including but not limited to video or audio is a violation of the intellectual property of the speakers as well as a violation of the terms of participation in this event. Participants expressly agree not to independently record, or knowingly let anyone else record, any of the conference sessions in which they participate. Participants will also not share their unique link to the conference platform or the content therein with anyone else. The unique link to the conference platform will be used solely by the participant.

Consent to Use of Photographic & Video Images

Registration, attendance at, or participation in SAIS meetings and other activities constitutes an agreement by the registrant to SAIS’s use and distribution (both now and in the future) of the registrant or attendee’s image or voice in photographs, videos, electronic reproductions, and audio of such events and activities.

EXHIBITOR/SPONSOR POLICIES
Exhibitor Cancellation Policy

Booth cancellations received in writing to info@sais.org 45 days prior to the event will receive an 80% refund. Cancellations received after that deadline are not eligible for a refund.

Sponsor Cancellation Policy

Sponsorship fees are non-refundable.

Consent to Use of Photographic & Video Images

Registration, attendance at, or participation in SAIS meetings and other activities constitutes an agreement by the registrant to SAIS’s use and distribution (both now and in the future) of the registrant or attendee’s image or voice in photographs, videos, electronic reproductions, and audio of such events and activities.

Hold Harmless Clause 

The sponsor/exhibitor assumes the entire responsibility and liability for losses, damages, and claims arising out of exhibitor’s activities on the Hotel premises and will indemnify, defend, and hold harmless the Hotel, its owner, and its management company, as well as their respective agents, servants, and employees from any and all such losses, damages, and claims. Exhibitor hereby indemnifies and holds the association harmless from and against any and all claims, expenses (including reasonable attorney's fees), and liability whatsoever arising, directly or indirectly, out of exhibitor’s actions or inaction at, or participation in, the event (including but not limited to any injury or damage which exhibitor may suffer as a result of exhibitor’s participation in the program).

Terms of Agreement
  1. Exhibitor agrees to not schedule any hosted event during the stated program times as provided by association. 
  2. Please note the designated set-up time. Early set-up will incur an additional $200 fee.
  3. Submitting this agreement indicates firm commitment as an exhibitor for the event in accordance with the corresponding fees.
  4. The association and exhibitor agree that the activities contemplated by this agreement have a specific and limited scope and that nothing in this agreement construes/implies the association's approval, endorsement, or referral of any exhibitor product or service.
  5. Exhibitor agrees to comply with all event-related deadlines provided by the association.
  6. The association will provide appropriate acknowledgement and recognition of the exhibitor as specified in the benefits listing.
  7. The association does not guarantee attendance numbers at the event.
  8. Exhibitor acknowledges and agrees that the association can deny exhibitor's application at any time for any reason at its sole discretion.
  9. Exhibitor acknowledges and agrees that the association can terminate this agreement at any time for any reason at its sole discretion.
  10. By executing this agreement, exhibitor hereby grants to the association the limited right to use the exhibitor's name and logo(s).
  11. The only permissible uses of any association or exhibitor proprietary property, such as names, trademarks, service marks, logos, or copyrights are as stated in this agreement and any further use requires the prior written approval of the owner of such property.
