SPOTLIGHT YOUR BRAND: WHERE WILL YOUR LOGO SHINE AT SAIS?

The SAIS Annual Conference is the largest regional networking and educational event for independent school professionals in the Southeast. Attendees will tackle key challenges, explore winning strategies, and uncover the latest trends shaping the industry.

Audience: heads of school, assistant heads, division heads, academic deans, deans of students, business officers, tech directors, advancement directors, enrollment directors, and communications/marketing directors

Anticipated # of attendees: 300-325

EXHIBIT:

  • 6’x30″ table w/ 2 chairs (Sun-Mon): $2,095

SPONSOR OPTIONS:

  • Friend (Sun-Tues): $3,500
    • Please note that this level does not include an exhibit booth.
  • Bronze (Sun-Tues): $6,000
  • Silver (Sun-Tues): $8,000
  • Gold (Sun-Tues): $10,000
    *Bronze, Silver, and Gold sponsorships include a 6’x30″ exhibit table w/ 2 chairs.

BAG STUFFER: You may include a bag stuffer for an additional $950.

  • Each conference attendee will receive a tote bag at registration pre-stuffed with conference materials and sponsored items.
  • Your item can be no larger than 8.5″x11″ and no more than 1/4″ thick. This could be a brochure, notepad, pen, koozie, etc.
  • Bag stuffers must be received no later than 10/3/2025.
  • Please note there are only 5 bag stuffers available; first come, first serve. If you have questions, please contact anna@sais.org.

SUNDAY, OCTOBER 19

  • SET-UP: 12:30-3:00 PM
  • SHOW HOURS: 4:00-7:00 PM
  • EXHIBITS OPEN: 3 hours

MONDAY, OCTOBER 20

  • SHOW HOURS: Full day, approximately 8:00 AM-6:00 PM
  • EXHIBITOR TEAR-DOWN: 6:00-7:00 PM

TUESDAY, OCTOBER 21 (SPONSORS ONLY)

  • SHOW HOURS: Short day, approximately 8:00-11:00 AM
  • SPONSOR TEAR-DOWN: 11:00 AM-12:00 PM

ON-SITE PERSONNEL

Conference registration is included as follows:

  • Two (2) personnel per 6’x30″ exhibit table
  • Three (3) personnel per bronze sponsor
  • Four (4) personnel per silver or gold sponsor
  • We will contact you in September to ask for the names of your on-site personnel.
  • All personnel must be employees or representatives who receive commission, brokerage, or salary from the exhibiting entity.
  • All personnel must be over the age of 21.
  • No suitcasing.
  • No pets or animals allowed in the exhibit or meeting space.

BOOTH ASSIGNMENT

The registration form includes self-selection of booth location. View the booth map here. *Please note: Floor plans are subject to change and SAIS reserves the right to make adjustments as necessary. Floor plans may not immediately indicate ongoing and most recent changes. Additional booths may be available if distancing guidelines change prior to the event.

BOOTH PACKAGE & RESTRICTIONS

Each exhibitor and sponsor (aside from supporter level) will have a 6′ x 30″ rectangular table and 2 chairs.

Due to space restrictions, larger tables will not be available.    

  • Signs over 6′ wide and rugs that protrude into the aisle are prohibited.
  • Booths not dismantled by the end of the allotted tear-down time period will be broken down and put into storage at a $250 storage and handling fee. Return shipping will incur an additional fee.
  • All food served in the exhibit hall must be procured from the hotel.
  • SAIS reserves the right to refuse any application for exhibit space and to restrict exhibit activities during the meeting that in the sole judgement of SAIS are not appropriate to the meeting’s purpose.

MAILING ADDRESSES

Mailing addresses for all conference registrants will be provided three weeks prior to the conference so that you may snail-mail a brochure. These are for ONE-TIME USE ONLY. They may not, in whole or part, be reproduced, copied, disseminated, entered into a computer database or otherwise utilized, in any form or manner or by any means, except for the one-time mailing associated. Unfortunately, we cannot release attendee email addresses due to our privacy policy.

PAYMENT & CANCELLATION

-Payment may be made by credit/debit or ACH. The form defaults to credit/debit but ACH is selectable.

-Sponsorships are non-refundable.

-Exhibitor cancellations received in writing to anna@sais.org -- 

  • Before August 31 will be refunded less a 20% processing fee
  • After August 31 are not eligible for a refund

  • Receptions, Breakfasts, & Breaks: We will provide sponsor signage in the reception/breakfast space.
  • Session Tracks: Your logo will appear on the welcome screens for each session in the track for the day. You will be acknowledged as the sponsor in the program and conference app.
  • Promo Items: Your logo and the SAIS logo will appear on your selected item.
  • Conference App: Your logo will appear prominently on the conference app.
  • Wifi: You may select the wifi password. It will be included on signage, programs, app, welcome slides, and reminder e-mail.
